We are seeking an Executive Assistant for our Client Delivery team.

The EA role is critical for providing remarkable service to our clients while helping the overall Client Delivery team members reach their full potential. This is accomplished through the daily management of administrative activities within Lazorpoint with an emphasis on consistency, quality, and efficiency.

Responsibilities:

• Manage CEO email, scheduling, and travel.

• General office duties including processing mail and packages, monitoring and ordering office supplies, maintaining conference rooms, filing, and other duties as needed.

• Answer phones, screen calls, and greets guests.

• Help Marketing manage customer database via a CRM tool.

• Schedule/facilitate client and internal meetings, capture and publish minutes, including pre-meeting preparation.

• Assist client services team with task management, client follow-up and communication, reporting, and agreement management.

• Responsible for the quoting and procurement of employee service awards and gifts.

• Assist with recruiting process including schedule coordination and preparation of materials as well as HR onboarding/offboarding of employees.

• Be the point of contact for most non-IT issues, including:

  • • Manage communication and issue resolution with building management staff including noise disruption and HVAC issues

    • Maintain/manage the security system

    • Multi-Function Device (Copier, printer, fax) malfunctioning

    • Manage office vendors, including cleaner

• Assist Accounting Manager with financial tasks including preparing and making daily deposits, client renewals, bookkeeping, AP/AR, QuickBooks, reconciliations, and other duties as needed.

Qualifications:

• 2+ years experience as an Executive Assistant or Office Manager

• Task and light project management

• Microsoft Office Suite experience, including proficiency in Excel

• Must be tech-savvy, comfortable with common business applications, and able to figure out new applications/technology

• 1+ years’ professional services or corporate office experience

• 1+ years experience working with CRM or customer database
